GigBuddy Privacy Policy

This Privacy Policy explains how Rubo AI ("we," "us," "Rubo") collects, uses, and protects information you provide when using the GigBuddy mobile application (the "App"). We respect your privacy and built GigBuddy with the principle that your data belongs to you.

1. Who we are

GigBuddy is operated by Rubo AI, a company based in Westchester County, New York. You can reach us at support@rubo.ai.

2. What information we collect

When you use GigBuddy, we collect the following types of information:

Profile information

- Your name, company name, email address, and phone number

- Your trade specialty and business description

- Labor rates, markup percentages, and tax rates you configure

Client and job data

- Information you enter about your clients: names, phone numbers, email addresses, physical addresses, and notes

- Job details: titles, locations, scopes of work, line items, totals, payments, change orders, permits, schedule information

- Photos you upload to document job progress

- Voice recordings you create when generating quotes or change orders

- Notes you write inside the app

Device and technical information

- Basic device identifiers and app version data used for crash reporting and performance monitoring

- Approximate region or country, derived from your network connection

We do not collect:

- Your precise GPS location

- Information about your contacts beyond what you choose to enter

- Browsing history or activity outside the App

- Any biometric identifiers

3. How we use your information

We use the information you provide to:

- Provide and operate GigBuddy's core features (jobs, quotes, clients, voice transcription, etc.)

- Transcribe your voice recordings into text using third-party transcription services

- Generate quote and change order content using third-party AI services

- Improve the App, fix bugs, and monitor performance

- Communicate with you about your account, updates, or support inquiries

- Comply with legal obligations

We do not use your data for:

- Advertising or marketing to your clients

- Selling, renting, or trading to third-party data brokers, marketing companies, or advertisers

- Building user profiles for resale

- Cross-app or cross-site tracking

4. Sharing with third parties

We share information only with the service providers that help us operate GigBuddy. These providers are bound by contract to use your data only to deliver their services to us and may not use it for any other purpose. Our current service providers include:

- Anthropic, PBC (Claude AI) — for AI-powered quote and change order generation. Voice transcripts and text content may be processed by Anthropic to produce quote drafts.

- Deepgram, Inc. — for voice-to-text transcription. Audio recordings are processed by Deepgram and converted to text.

- Amazon Web Services, Inc. — for secure cloud storage and hosting.

- Twilio, Inc. — for SMS delivery (when you send a quote or CO via SMS).

- Stripe, Inc. — for payment processing (when applicable).

We do not sell your personal information to anyone. We do not share personally identifiable information about you or your clients with third parties for marketing, advertising, or analytics purposes.

5. Data security

We protect your data using:

- Encryption in transit (HTTPS / TLS) for all data sent between the App and our servers

- Encryption at rest on our cloud infrastructure

- Access controls limiting who at Rubo can access user data

- Industry-standard security practices for our service providers

No security measure is perfect, and we cannot guarantee that information will never be intercepted or compromised. However, we take reasonable steps to safeguard your data.

6. Data retention

We retain your data for as long as your GigBuddy account is active. If you stop using the App or request deletion (see section 7), we will delete your data within 30 days, except where we are required to retain it to comply with legal obligations.

7. Your rights and choices

You have the right to:

- Request a copy of the data we have collected about you

- Request that we correct inaccurate data

- Request that we delete your data (see our Data Deletion page at rubo.ai/gigbuddy-data-deletion)

- Withdraw consent for data processing

- Lodge a complaint with a data protection authority

To exercise any of these rights, email us at support@rubo.ai with details of your request. We will respond within 30 days.

If you are a resident of California, you have additional rights under the California Consumer Privacy Act (CCPA), including the right to know what personal information we have collected and the right to opt out of any "sale" of personal information. We do not sell personal information.

If you are a resident of the European Economic Area or the United Kingdom, you have additional rights under the General Data Protection Regulation (GDPR), including the rights described above plus the right to data portability.

8. Children's privacy

GigBuddy is intended for use by adult business owners and is not directed at children under 18. We do not knowingly collect personal information from anyone under 18. If you believe a minor has provided us with personal information, contact us at support@rubo.ai and we will delete it.

9. Voice recordings

When you use the voice features in GigBuddy:

- Your voice is captured by the App and sent to our transcription service (Deepgram) to convert speech to text

- The transcribed text may then be sent to Anthropic's Claude AI to generate quote or change order content

- Voice recordings are not stored long-term. After transcription is complete, the audio is deleted from our systems within 30 days.

- Transcripts and the resulting quotes are stored alongside the rest of your job data

We do not use your voice recordings to train AI models, build voice prints, or for any purpose beyond providing the transcription and content generation services you requested.

10. Changes to this policy

We may update this Privacy Policy from time to time. When we do, we will revise the "Effective date" at the top. Material changes will be communicated to you through the App or via email. Continued use of GigBuddy after changes take effect constitutes acceptance of the updated policy.
