Toolbi ("we," "us," "our") is operated by Rubo AI LLC. This policy explains what information Toolbi collects, how it's used, and who it's shared with. By using Toolbi, you agree to this policy.

Information We Collect

Account information Name, email address, phone number, and business details you provide during signup or in your Business Profile (company name, trades, rates, tax settings).

Job and client data Job details, client names, phone numbers, emails, addresses, quotes, invoices, change orders, notes, and photos you add while using the app.

Voice and chat data When you use Buddy (Toolbi's voice assistant), your spoken audio is sent to Deepgram for transcription, and the resulting text is sent to Anthropic (Claude) to generate quotes, answer questions, and take notes. We do not use your conversations to train AI models.

Payment and subscription data Subscription status and billing events are handled by RevenueCat and the app store you purchased through (Apple App Store or Google Play). Toolbi does not directly collect or store your credit card information.

Usage data We use PostHog to understand how the app is used — for example, which features are used and how often , so we can improve Toolbi. This includes device type, app version, and in-app actions. It does not include the content of your jobs, quotes, or conversations with Buddy.

How We Use This Information

  • To provide and operate the app's core features

  • To sync your data across your devices

  • To generate quotes, invoices, and respond to your questions via Buddy

  • To process subscription payments and manage your plan

  • To understand app usage and improve Toolbi over time

  • To send you account-related emails (password resets, receipts)

Who We Share Data With

We share data only with the service providers needed to run Toolbi, and only for that purpose:

  • Supabase - account authentication and data storage/sync

  • Anthropic (Claude) - processes chat and quote-building conversations

  • Deepgram - transcribes voice input to text

  • RevenueCat - manages subscriptions and billing

  • PostHog - product usage analytics

  • Resend - sends transactional emails (password resets, notifications)

We do not sell your personal information to third parties, and we do not use your job or client data for advertising.

Data Retention

We retain your account and job data for as long as your account is active. If you delete your account, your data is permanently removed from our systems, including all jobs, clients, notes, and photos associated with it.

Your Rights

You can access, edit, or delete most of your data directly within the app. You can delete your account entirely from Settings, which removes all associated data. If you have questions about your data, contact us at support@rubo.ai.

Children's Privacy

Toolbi is intended for business use by adults and is not directed at children. We do not knowingly collect information from anyone under 18.

Security

We use industry-standard measures to protect your data, including encrypted connections and access controls on our backend infrastructure. No system is 100% secure, but we take reasonable steps to protect your information.

Changes to This Policy

We may update this policy from time to time. Material changes will be reflected with an updated "Last updated" date at the top of this page.
